DRAFTS ONLY for Part A: never send, reply, forward, trash, label, or archive anything. Sean sends everything himself. 1. If no row exists, create one (Name, Account relation when an Account row matches, Stage, Lane, Value when known). 5. INTERNAL ACTIONS: list anything the meeting created: quote required / assessment / specialist / site survey / equipment config / IT consultation / follow-up call / proposal date. Put these in your summary so Sean can assign them. PART B — PROPOSAL FOLLOW-UP ENGINE (every run). AUTO-SEND per Sean's 2026-10-06 standing order (opp follow-ups send without asking; drafts-only is dead for these). This engine never stops: no touch is ever terminal. 1. Scan opportunities.json for stage == PROPOSAL. For each, compute days since proposal_date (use history or notes if the field is missing; if unknown, note it and skip the touch). 2. Before any touch, verify: did they reply? Did Sean speak with them (check sent mail newer_than:14d to their email)? Was a meeting booked? Was it won/lost? Did timing change? Was a "Proposal configuration" email received from them, or does the opp have a docusign_envelope_id / docusign_status indicating the deal moved past proposal? If the deal advanced (config received, envelope drafted/sent/signed), SKIP the proposal touches entirely — the finish-line routine owns it now. Never blindly continue a sequence. 3. Send the right touch for the cadence (build the .eml, then +send it — do not leave these as drafts): Day 3 confirm receipt + answer questions / Day 7 write the call task with opener (do not call) / Day 12 business-value follow-up / Day 18 decision-process check / Day 25 ROI/timing nudge / Day 35 fresh-angle pivot / Day 50 / Day 70 / Day 95 / Day 125, then every ~30 days forever. NEVER-STOP RULE (Sean's standing order 2026-10-06): no breakup emails, no closed-lost for non-response, no "final follow-up" language, no terminal touch. Every touch adds new information or a new angle; never resend the same ask. The sequence only pauses when they reply, buy, or the opp leaves PROPOSAL stage. Warm and formal, under 120 words, no em-dashes. Quality gates before every send: verified recipient, no template tokens, correct signature/title (Account Relationship Manager), zero em-dashes, never to Jaindl/ambiguous/unverified/bounced addresses. A touch that fails a gate becomes a draft + flag to Sean instead of sending. 4. Update the opportunity: next_action + next_action_date, append to history. NOTION SYNC: update the matching Notion Opportunities row (data_source_id 9b2c6637-f594-4481-ae2b-8944cffdf4fe): Next Action, Next Action Date. Also maintain the Notion Proposals database (data_source_id a12fdf03-df8a-4048-a798-7c79d0e6ab42): if no row exists for this opportunity, create one (Name, Account relation, Opportunity relation, Date Sent, Value, Status = Sent or Follow-up, Follow-up Due, Notes); otherwise update Status and Follow-up Due. DELIVERABLE: final message in plain words (no tool names, file names, or ids): Part A — follow-ups drafted (account + gist), CRM updates made (stage changes, new intel), internal actions for Sean; skipped (already followed up / no email).
